2. Setup Fee Policy
2.1 Non-Refundable Nature
The one-time setup fee of $349 CAD is non-refundable once we have begun work on your chatbot configuration. This fee covers:
- Initial consultation and requirements gathering
- Chatbot customization and configuration
- AI model training and prompt engineering
- Integration setup and testing
- Technical support and deployment assistance
2.2 Work Commencement
Work is considered to have commenced when:
- You submit your business information through our intake form
- Our team begins processing your chatbot configuration
- Custom AI prompts are generated for your business
- Integration code is prepared for your website
2.3 Exceptional Circumstances
In rare cases, we may consider a partial refund of the setup fee if:
- We are unable to deliver the agreed-upon services
- Technical issues prevent service delivery beyond our control
- Service is discontinued within 7 days of purchase due to our fault
3. Subscription Fee Policy
3.1 Monthly Billing
Subscription fees are billed monthly in advance. Refunds for subscription fees are handled as follows:
3.2 Service Interruptions
If our service experiences extended downtime:
- Under 24 hours: No refund provided
- 24-72 hours: Pro-rated credit for affected period
- Over 72 hours: Full month refund upon request
3.3 Service Quality Issues
If you experience significant service quality issues:
- Report the issue to our support team
- Allow 48 hours for resolution
- If unresolved, request a pro-rated refund for the affected period
4. Cancellation Policy
4.1 Subscription Cancellation
When you cancel your subscription:
- Service continues until the end of your current billing period
- No refunds for unused days in the current billing period
- Setup fee remains non-refundable (as per Section 2)
- You retain access until the subscription expires
4.2 Cancellation Timing
To avoid the next billing cycle:
- Cancel at least 24 hours before your renewal date
- Cancellations take effect at the end of the current period
- Immediate cancellation does not provide refunds

- Setup fees after work commencement
- Message overages beyond plan limits
- Add-on services once delivered
- Custom development work completed
- Training sessions once conducted
- Partial months of subscription service
7. Force Majeure
We are not liable for service interruptions or refund claims arising from:
- Natural disasters, acts of God, or severe weather
- War, terrorism, or civil unrest
- Government actions or regulations
- Third-party service provider outages
- Internet infrastructure failures
- Other circumstances beyond our reasonable control
